Create, Track, and Manage Employee Holidays

    Managing employee holidays can be time-consuming, but with HRManager, the process is simple and efficient. This guide will walk you through how to create holiday records, track time off, and manage employee leave requests with ease.

    Creating a Holiday Record

    To begin, log into your HRManager account and follow these steps:

    • Click on the HR tab in the left-hand menu.
    • Select Timekeeping, then click on Holiday Records.
    • Click the Create New button.
    • Select the employee you wish to book a holiday for and click Create.
    • Enter the holiday details, including the date range, paid/unpaid status, and any relevant notes.
    • Click Save to confirm the holiday booking.

    Using the Holiday Calendar for Efficient Planning

    HRManager’s holiday calendar helps you visualise team availability and avoid scheduling conflicts:

    • Click on Calendar in the left-hand menu.
    • Filter the calendar view by department, location, or date range.
    • Holidays are colour-coded for easy identification.
    • Click on any date to see who is off.

    Requesting a Holiday from the Employee Dashboard

    Employees can easily request holidays through their Employee Dashboard, making the process smooth and efficient:

    • Log into the Employee Dashboard.
    • Click on Request a Holiday.
    • Select the date range for the requested time off.
    • View the calendar to check for potential conflicts with team members.
    • Add any relevant notes or comments.
    • Click Submit Request.

    Once submitted, the request will be sent to the line manager for approval. The employee will receive a notification once the request is approved or declined.

    Reports and Approving Holiday Requests

    Managers easily approve holiday requests and quickly produce reports using the manager dashboard:

    • To approve a holiday request click View Holiday Requests on the home screen.
    • Click View on the holiday request you want to manage.
    • Click on Holiday Requests to view pending requests.
    • Review the request details, including the employee’s remaining holiday balance.
    • Approve or decline the request with a click, adding comments if needed.
    • Approved holidays will automatically update in the employee’s record and the company calendar.
    • To create a report click on the HR dropdown menu and select Timekeeping.
    • Select View All Holiday Records 
    • Filter columns, select date range and download to Excel
